TENDER SOFTWARE
Tender software for SMEs
Tender software, in Dutch tendersoftware or aanbestedingssoftware, is software that helps a company bid for public tenders and requests for proposals, from reading the documents to checking the bid before it is submitted.
What tender software does
A bid runs through a fixed series of steps. Packages differ in how many of those steps they cover. These are the steps software can help with.
- UnderstandRead the documents and put the requirements, knock-outs, award criteria, format requirements and time limits in one list. How to do that by hand in an hour is in reading tender documents.
- DecideA reasoned bid/no-bid advice, provisional after the analysis and final after the clarification round. More in bid or no-bid.
- AskSuggest questions for the clarification round, with the passage they relate to.
- WriteA first version per award criterion, based on the profile of your company. How you earn points is in writing for points and a method statement that scores.
- CheckTest the bid against the format requirements, such as page limit and font size, and against the list of required documents. See the final week.
- SubmitYou do this yourself. With Atvalio the software submits nothing on your behalf.
Some software also alerts you to new tenders that fit. Where those are published is in finding public tenders and what is TenderNed.
What to look for when you choose
These points decide whether you can trust the software with a bid you want to win a contract with.
| What to look for | Why it matters |
|---|---|
| A source behind every piece of advice | Without a source you have to check yourself whether a requirement really is in the documents. With a reference to the page, you check advice straight away. |
| A question instead of an invention | AI likes to fill in missing facts itself. A reference or certificate that does not exist can cost you the bid. See writing tenders with AI. |
| Texts from your own data | Any competitor can submit a generic text. Software that writes from the profile of your company and the documents gives texts that fit you and this contract. See differentiation. |
| Where your documents are processed | Tender documents often contain confidential information. Ask where they are stored, whether they are used to train models and whether you get a data processing agreement. |
| Who submits | You remain responsible for everything you submit. Choose software that advises and lets you decide. |
| Monitoring of format requirements | PIANOo, the Dutch public procurement expertise centre, counts a bid that does not meet the requirements in the tender documents among the irregular bids. A tool that monitors page limit, font size and required forms prevents that. |
| Price and term | Check whether you pay per user, per tender or per month, whether you can cancel monthly and whether you can try without commitment. Use the cost of a bid calculator to work out what a bid costs you now. |
When you do not need tender software
Software is not a goal. If you bid a few times a year, the requests are simple and you have texts that already scored well, you can do without. An honest comparison is in writing it yourself or with Atvalio.
If you want to hand the writing to someone else rather than add a tool, read tender software or tender agency.
European public tenders and private tenders
In a European public tender the rules set the procedure, and good software monitors the format requirements from the tender documents. In a private tender the client sets the rules, and structure and layout are free. Read what a private tender is and look at the sectors for which Atvalio works out the requirements.
How Atvalio does it
Atvalio Tenders is software for European public tenders and private tenders. You upload the documents and are guided from analysis to a bid that is ready to submit, in the steps understand, decide, ask, write, check and submit. AI (Claude) reads and writes. You decide and submit yourself.
- SourceEvery piece of advice has a sourceEach piece of advice points to a page in the documents or a field in your profile, and the software checks that the source exists.
- MissingA question, not an inventionIf information is missing, Atvalio asks you a question instead of filling it in.
- DataStored in the EUProcessed and stored in the EU. Two-step verification is mandatory and customers are strictly separated. More on security.
- PriceFrom € 400 per monthExcluding VAT, for 1 user and 3 tenders per month. You can try it free for 14 days, without automatic switch to paid. All plans are on pricing.
Atvalio Tenders launches in January 2027. Until then there is a waiting list.
Frequently asked questions
Is tender software the same as aanbestedingssoftware?
In this use, yes: both words stand for software that helps you bid for tenders. Tender is also used for requests for proposals from companies, aanbesteding for contracts from public bodies.
Can tender software submit a bid for me?
Not with Atvalio. The software advises and writes proposals. You decide and submit yourself.
Is tender software also suitable for private tenders?
That depends on the package. Atvalio Tenders launches in January 2027 with European public tenders and private tenders; in a private tender, structure and layout are free.
Where are my tender documents processed?
With Atvalio in the EU: Supabase and Vercel in Frankfurt and Claude through Amazon Bedrock in the EU, with Google Cloud in the EU as backup. Nothing is used for training. More on security.
