PRIVATE TENDERS
From short quote to full proposal, in your own house style
Not every tender comes from government. Companies request proposals every day, from a short price request to an extensive process with meetings and a pitch. Atvalio will help you with those the way it does with a public tender: reading, advising, writing from your profile and checking. You stay in control and send it yourself.
WHAT IS A PRIVATE TENDER
A request from a company, with its own rules
A private tender is a request for proposals from a business. A company does not have to follow a public procedure: it decides who it invites, what it asks and how it chooses. Only in a few sectors, such as energy, water and transport, can companies fall under procurement rules too.
That gives room. You are free in structure and design. Often a meeting or a presentation follows, and the client may negotiate, for example in a second round or a best and final offer. And the client usually knows you already. That is your head start, if you use it.
How to win one: how to win a private tender.
THREE TYPES
Small, large or special
When you start a new private tender in Atvalio, you choose its type. That decides how much Atvalio asks and writes.
- SmallA short, concrete quoteThe client wants something short, because the job needs no more or because that is what they like. Atvalio will turn it into a neat proposal in your own house style, with what the client asked for in one list.
- LargeThe full storyApproach, planning, team, price and agreements, complete and well supported. Atvalio will help with the structure and write each part from your profile.
- SpecialTailor-made, with its own conceptFor a client you really want to win. Its own concept, in content and in design. Atvalio will think along about the concept and layout; you make the choices.
SMALL PROPOSALS
Small proposals deserve attention too
For many companies, small proposals are the most work: not one by one, but because of how often they come back. They often come from an old Word file: a previous proposal, another client name, the price adjusted. That is quick, but it reads that way too. And what the client actually asked for sometimes gets lost along the way.
This is where Atvalio will save time: from request to a neat proposal in your own house style, without starting over and without retyping.
- Reads the email or requestYou paste the email or upload the request. Atvalio picks out what the client wants: the service, the scope, the timing, the questions they ask.
- Lists itWhat the client asked for, in a short list. So you see at a glance whether your proposal answers everything.
- Writes from your profileA proposal with your services, references and way of working, in your own house style. No text that fits every competitor.
- Says what is missingMissing a price, a start date or an answer to one of the client’s questions? Atvalio asks you, instead of filling something in.
The proposal goes to Word or PDF. You change what you want and send it yourself.
THE CLIENT READS ALONG
Read your proposal the way the client reads it
In a private tender, one person rarely decides alone. Behind your contact sits a group: the decision-making unit. Atvalio will have your proposal read by simulated readers, each with their own lens. So you see where a reader hesitates while you can still improve.
- ProcurementIs it right, and can we compare it?Price, terms and whether the proposal answers every point.
- UserWhat changes for me?Less hassle, better service, a supplier who thinks along.
- ManagementDoes it fit where we are going?Risk, cost over the term and calm in the organisation.
You add what you know about the client. The simulated readers are a tool to sharpen your proposal, not a prediction of the outcome.
AFTER SENDING
Follow up, and learn from a loss
- Follow upIn a private tender, a second round starts after you send. Atvalio will remind you to follow up and keep track of what you agreed with the client. You handle the contact yourself. Read following up a proposal.
- NegotiateAtvalio will keep track of what you commit to in your proposal and set it against your calculation, so you know what you can give in a second round. Read price and negotiation.
- Learn from a lossAfter the result you add the client’s feedback to your proposal. Atvalio will set it against what you wrote and, with your approval, take the lessons into your next proposals. The AI model itself learns nothing from your documents.
WHERE WE ARE
Public tenders first, then private
Atvalio Tenders is in development. We are building the chain for European public tenders first, then the one for private tenders. What this page describes as something Atvalio will do, we work out in that second step. Your company profile, your house style and the export to Word and PDF are the same for both.
