Tenders in green space and grounds maintenance

Green space maintenance is often contracted on visual quality: the buyer describes how it should look, you decide how often and how you get there. That gives freedom, and the risk lies with you.

What buyers ask for

  • Visual qualityIn Dutch specifications for public space you often see the visual quality levels from the CROW quality catalogue for public space (Kwaliteitscatalogus openbare ruimte). The levels are set in visual measuring scales with photos, descriptions and performance requirements. With maintenance on visual quality, you work out yourself how much work is needed to hold that level all year.
  • Craftsmanship and GroenkeurGroenkeur is a certificate for the green sector: a quality system based on ISO 9001 with a green addition, with annual audits. For projects where quality is decisive for sustainable management, certification bodies advise buyers to make it a bid requirement.
  • SustainabilityBuyers ask about your CO2 emissions and your equipment, for example through the CO2 Performance Ladder as an award advantage. Make it concrete for this contract, with measures you actually take. Read sustainability as an award criterion.
  • A plan through the seasonsThe growth peak in spring and the leaves in autumn need capacity at different times than winter. A year plan that shows how you handle the peak makes your approach credible.

In a private tender

At a company, grounds maintenance is often about daily operations: loading docks, car parks, the entrance customers see. Ask when the site is busy and plan your work around it. A detail like that from a conversation shows you know the client, and the logistics manager reads it first.

How Atvalio helps

Atvalio reads the documents, knows your company and helps you write. You decide and you submit. In this sector that looks like this:

  1. UnderstandThe visual level per element, the measurement method, penalties and sustainability requirements in one list, with the page.
  2. DecideA recommendation that sets the size of the area and the term against your capacity and equipment.
  3. AskA question for the clarification round when it is unclear how and how often the visual quality is measured.
  4. WriteYour approach and year plan from your profile: your crews, your equipment and your references in similar green space.
  5. CheckA simulated committee reads along, and Atvalio checks that every requested part and every format rule is in.

What often goes wrong

  • Fictional exampleA visual specification priced as a frequency scheduleA landscaper prices visual-quality maintenance with the mowing frequencies from the previous contract. In a wet spring the grass grows faster than planned and the visual quality drops below the agreed level. The inspection leads to a deduction. Atvalio lists under Understand how the quality is measured and what penalty applies, so your calculation matches it.
