Tenders in facility services

Facility tenders often combine several services: catering, reception, cleaning, security, technical maintenance. The question is not only whether you can do each part, but above all how you manage them together.

What buyers ask for

  • One lead over several servicesIn an integrated contract, the buyer wants to know who leads, how you manage subcontractors and how you report on the whole. If you do not deliver part of it yourself, a public tender often requires you to rely on other entities, with the declarations that come with it.
  • Performance and reportingQuality is usually set in performance indicators with a fixed reporting cycle. Describe how you measure, when you adjust and what the buyer sees of it. An indicator you cannot measure is a promise you cannot prove.
  • CateringIn catering, staff fall under the Dutch collective agreement for contract catering. Municipalities that work with the JOGG programme on healthier food in their own town hall include the government level for healthy catering (Overheidsniveau Gezonde Catering) as a tender requirement for contract catering.
  • Social return and sustainabilityBoth come back often in facility tenders, as a requirement or as an award criterion. Read about social return and sustainability as an award criterion.
  • A smooth changeoverWhen the supplier changes, the buyer wants to know how the first weeks go: who starts, what transfers and when everything runs. A concrete implementation plan takes that worry away.

In a private tender

A company that bundles its facility services usually wants fewer suppliers and less hassle. Your contact is the facility manager; the users are the people in the building, and an assistant or secretariat often helps assess. Show what changes for them, not only what you deliver.

How Atvalio helps

Atvalio reads the documents, knows your company and helps you write. You decide and you submit. In this sector that looks like this:

  1. UnderstandPer service the requirements, performance indicators and format rules in one list, and what connects the services.
  2. DecideA recommendation that shows which parts you deliver yourself and where you need a partner or subcontractor.
  3. AskA question for the clarification round when indicators, volumes or the split between services are unclear.
  4. WriteOne coherent story from your profile, even when five colleagues work on the parts.
  5. CheckA simulated committee reads the whole and looks for coherence; Atvalio checks that every part is answered.

What often goes wrong

  • Fictional exampleFive services, five storiesA facility company has five colleagues each describe one service. The committee reads five writing styles, two different contacts and reporting that works differently per part. The overall lead, which is what the contract is about, is nowhere to be seen. Atvalio writes from one profile and has the simulated committee read specifically for coherence.
